Order/Art Storage

My company currently runs in this way:
A customer wants to place an order, so we go to the filing cabinets that are FULL of art/orders to pull their last order. We make a copy of the art and have them sign off on it. Then the art department makes a new artsheet, and pulls the old vellums from the same filing cabinet. The items are printed, and everything is filed away again.
We are really trying to get rid of those filing cabinets. Any suggestions on how to change procedures? How do you run things?
