Order/Art Storage

My company currently runs in this way:
A customer wants to place an order, so we go to the filing cabinets that are FULL of art/orders to pull their last order. We make a copy of the art and have them sign off on it. Then the art department makes a new artsheet, and pulls the old vellums from the same filing cabinet. The items are printed, and everything is filed away again.

We are really trying to get rid of those filing cabinets. Any suggestions on how to change procedures? How do you run things?

we have filing cabinets but only for old invoices and current invoices...

our art is filed in hanging files.

each art has a specific label.. (example. CHS Highschool Stock art: C001)

and all the file numbers are organized in an EXCEL file on one of our comps.

From what I understand, the hanging art files are the best way to do things. They can be expensive, but are well worth the price if you are a high volume shop with lots 'o' customers.

Do you have a link to something that I can see as to what you mean?? I guess I thought that hanging files were another term for the files used in a filing cabinet;
